General Position Summary:
Attends as the receptionist for the St. Rose Building main phone line and the front door. Maintains data bases and online programs for the Catholic Schools and assists the Power School Coordinator.

Functional Responsibilities:
• Maintains confidentiality of all records and information.
• Performs all duties in a manner depicting an appropriate image of the Catholic Church the Curia, its staff and mission.
• Participates with the Superintendent and team members in implementing the Diocesan Pastoral Plan through activities, correspondence and dialogue with others.
• Answers and directs incoming calls and visitors to other diocesan offices.
• Assist Power School Administrator in working with schools to keep data accurate. Updating diocesan forms and training materials as necessary.
• Assist with state assessment testing and other state data and reports.
• Creates and maintains all personnel files for school employees including verifying and updating records annually.
• Supports Assistant Superintendent with all recruitment, posting, and application processes with principals, schools, teachers, university/college placement centers and media outlets.
• Supports candidates in their inquiries of how to access, adjust, and/or delete their files.
• Keeps all application forms updated and current in the application database; and all job postings current on the website.
• Assures all documentation accompanies new hires. Disseminates new hire documentation to the specific department and maintains employee database.
• Serves as a resource to teachers and principals in responding to inquiries about certification requirements, background checks, VIRTUS, and state guidelines concerning health and safety requirements.
• Maintains, updates and distributes a substitute teacher database for the schools.
• Prepares, verifies, and updates employment histories of teachers and manages the service recognition program by gathering years of experience, ordering plaques and pins for the honorees, and distributing the awards to the schools to be granted.
• Performs employment verification for requests.
• Works in collaboration with Human Resource Department on data base details.
• Creates and implements forms and procedures to constantly update information gathering procedures and make more efficient use of data.
• Updates employee login information in a variety of on-line programs.
• Upload information into PowerSchool and other data bases.
• Exports data from PowerSchool and other data bases to create summarized reports.
• Maintains ascetics of the office area.

Special Qualification:
• Practicing Catholic in good standing and an active steward in one’s parish.
• Positive self-starter.
• Ability to learn new computer programs and problem solve independently.
• Appropriate experience and general knowledge of proper telephone etiquette, office practices, techniques, and technology.
• Appropriate skills in typing, business English, spelling, punctuation, proofreading, and filing.
• Attention to detail and the ability to multi-task.
• Excellent organizational skills to manage varied workloads.
• Exhibits a strict sense of confidentiality, professionalism, initiative and self-motivation.

Required Skill Qualifications:
3-5 years recent and successful training, experience and knowledge of managing a data base. Training and experience with PowerSchool. Proficiency with Access, Word and Excel. Personal characteristics that reflect strong verbal communication skills, genuine hospitality. Proven attention to details and the ability to multi-task on a continuous basis. Excellent writing and editing skills. Ability to type 50-55 wpm with accuracy.

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is occasionally required to stand, walk, sit, and talk or hear. It is required that this individual have sufficient clarity of speech and hearing to communicate effectively. The work environment will consist of normal office conditions. The noise level in the work environment is usually quiet to moderate.
